11. Preventive Maintenance Plan: Preventive Maintenance means the maintenance activities that are performed on a regular basis to prevent potential damage and/or malfunction to machines and equipment. The Preventive Maintenance Plan is introduced with the purpose of performing preventive maintenance operations in a controlled manner. The goal is to maintain the readiness and operational status of all machines and avoid potential malfunctions before they occur. The Preventive Maintenance Plan is a yearly plan that consists of over thousands of tasks distributed equally across 52 weeks, (e.g. 20 tasks/week). The plan is available in both English and Arabic languages. A Task-Auto-Generate Excel table is programmed to enable creating the weekly preventive maintenance task list with a single button click. 12. Machine and spare-part Records: A record was introduced for every machine and spare-part to track important information and parameters. A spare-part/machine record contains this information: (manufacturer, model, serial number), applicable machines (the machines that the spare-part is typically used with), operational status, maintenance records and configuration parameters. A Spare-part/machine’s maintenance records shows all the maintenance operations that were made to a particular Spare-part/machine. The maintenance records log allows providing up-to-date information about the Spare-part’s maintenance operations. The operational status of a machine/record shows the current condition of the machine/Spare-part and whether it’s ready for use or not. The operational status is based on information from the Spare-part/machine’s maintenance records log. Configuration parameters of a Spare-part are the values of various machine and other operational parameters that the Spare-part requires to be set in order to produce conforming product parts. These parameter values are considered a part of a product’s specifications. (QMS4m v1.0 component of Software)

13. Maintenance Processes is now performed and controlled with three processes for urgent maintenance, daily preventive maintenance, and weekly preventive maintenance.

14.  One-View Software: This means, the application was implemented to display and summarize all key parameters about business operations in on-view environment. The application consists of a database (as Excel files or other database management system) and a graphical interface that consists of several pages. Each page is designed to display and/or provide access to important data and information quickly and easily. In this section, the concepts, page contents, and features of the application are explained and specified.

15. Shapes and Objects: Any page in the application contains a variety of shapes and objects. Each shape/object performs a certain function for serving a certain purpose. Some shapes are active and others aren’t. Active shapes are used to display real-time information about the things they represent; active shapes include: machine & Spare-part shapes, room shapes, raw materials shapes and product shapes. The purpose of inactive shapes, such as camera and worker shapes, is to show their placement locations in the facility and/or hold a notification for tasks to be performed by the workers individually, and/or even in case of existing a prize or punishment. Inactive shapes can be made active in the future.

16. Home Page: The home page is an active graphical map that resembles the factory layout. The map contains a section that is dedicated to showing links to most frequently used documents and artifacts as well as links to documents and artifacts for which no separate pages exist. The map also shows the placement and identifiers of machines, Spare-parts, relevant equipment and tools, and other objects in the factory. Additionally, the map shows the Room Space addresses and their locations in the facility. The home page contains several types of active shapes, namely: room shapes, Spare-part shapes, machine shapes, raw material shapes and finished product shapes. A room shape shows the required values of two important parameters, temperature and humidity, for each room. A machine (or Spare-part) shape shows the operational status of that machine. When multi-Screenshots of the application are available. For clarity purposes, they were placed in a separate document., the machine (Spare-part) record log which corresponds to the machine is opened. Raw materials and finished product shapes show the available stock of the most important raw materials and products. There are links to separate pages (one for raw materials and one for finished products) to display available stock of all products and raw materials. Another shape, the Last Updated shape, shows when the application was last updated to reflect latest changes to the data and information.

17. Machine Pages: Each machine has a profile page that displays various information about it. A machine page shows these things about each machine: (i) machine operational status (requires maintenance, stopped, operating, incomplete maintenance), (ii) links to: machine data and information logs, official operational and maintenance manuals, and read-only versions of all work instructions (to Arabic ones if available) (iii) diagrammatic representation of the machine (iv) identifiers and diagrammatic locations of most important sensors (v) for some machines, a list of important parameters that need to be monitored.

18.  Easy-Access Pages: There are two access pages, read-only page and read-edit page. Access pages provide links to all important production and maintenance documents and records. The read-only page provide links to the documents and records in PDF and HTML formats for reading and reviewing purposes, while the read-edit page provide the links to the XLSX and DOCX versions of the documents and records for editing purposes.

19. Intranet Access: Intranet Access and Search The application is designed to allow access for all employees with a network connection to a central server. The only requirement for accessing the application through the internal network is a web browser. Additionally, the application offers a search box that allows fast lookup and access to all sections and information on the application.

20. Access Permissions and Policies: All employees have read-only access to the entire application. In other words, all employees may navigate through the application and may review information and/or download read-only versions of documents and records. Only selected employees have the permission to edit documents and records. For example, the Production Manager has permission to maintain production records and the Operations Manager maintains maintenance records. The user permissions are set and configured as a part of the company’s central server’s user accounts and access permissions. Shown in all pages.

21. Notifications and Warnings:  Each active shape is used to provide notifications and warnings about various things. The purpose of notifications and warnings is to make it fast and easy to take action to events that require attention. The notification mechanisms include: (i) changing the background colour of the Last Update box when data hasn't been updated after the exceeding of the 1 minute update interval without a successful update, and thus alarming the Operations Manager to investigate the causes (i) displaying the operational status of machines and Spare-parts and whenever a machine or a Spare-part needs the attention of maintenance workers (such as when a malfunction occurred), the application creates a visual alarm (in the form of a red or a yellow point) to indicate that the machine or the Spare-part needs to be fixed (iii) changing the colour of a raw material and/or finished product shape when its stock falls below a predefined limit to alarm the Production Manager to take action.

22. Extend ability: The application was designed such that other features and information can be added as needed by the company’s business operations.

23. Support Service: The application is delivered with a 3 months Support Service during which minor fixes and/or tweaks (such as improvements to the portal) are provided free of charge. Based on our suggestion, the company is intending to purchase a central server to store all of their business operations' documents and records. The Consultancy company will perform the deployment of the application on the server as a part of the Support Service.

24.  Other Improvements: Instructions and Reminders In each Excel file, a Instructions and Reminders Excel table is introduced to help employees of various roles share best practices, justifications and rationale about certain records, instructions and rules of using the records (eg: who has access and who doesn't, actions and guidelines to maintaining integrity, accuracy and readability of data, etc).

25. Work Instructions: Work Instructions are machine-related methods and guidelines that describe how certain tasks and activities are performed. For ease of access and retrieval, Work Instructions were categorized based on their purpose into several categories, including: safety instructions, preventive maintenance instructions, operation instructions, emergency instructions, etc. These instructions serve the purpose of educating workers about the correct way in which relevant activities are conducted. The instructions can be used as materials for training new workers and/or expanding the knowledge of existing workers. The instructions were authored in English and translated into Arabic. “e.g. more than 80 work instructions were created”.

26. Technical Features: Wherever possible, data entry repetition (i.e.: not entering same data more than one time) is avoided by automatically pulling data from its sources. Additionally, calculated fields and data entry fields are colour-differentiated to simplify data entry and avoid confusion. The Production Excel file contains over 30 excel tables that are used regularly. Switching between those tables takes too much time. For that reason, to simplify navigation across various tables, an Excel sheet called “Production Portal” is introduced. The sheet contains links to all tables, and, there’s a link from each table back to the portal.

27. Training Recordings: Documents in pdf format and recordings in audio and video format will deliver to the company for future reference. At any time, Employees can return to the recordings to remember something or correct any misconceptions and/or misunderstandings they have. (Audio and video recordings are performed after having the consent of every personnel in the enterprise for public using or publishing)

28. Multi-Language: Due to the fact that some employee’s English language skills are not good enough, most of important components are translated to Arabic or another language elected by enterprise.
